Intake & Receiving Protocols
Dual Identification System
Upon arrival, every pet receives two forms of identification:
- Metal tag attached directly to the remains
- QR code & barcode for digital tracking throughout the process
These ID methods remain with your pet from intake through return, ensuring complete traceability.
Intake Inspection Checklist
Our team personally records the following at intake:
- Pet name, species, breed, color
- Owner name, contact information
- Date and time received
- Weight (pounds)
- Service type (Individual or Communal)
- Medical devices or implants present
- Personal property (collars, blankets, toys)
Personal Property Handling
Any personal items (collars, favorite toys, blankets) are documented and handled per your instructions:
- Items returned with remains (if requested)
- Items respectfully retained for processing
- All items photographed and logged
Refusal Policy
For your protection and ours, Ondara must refuse remains if:
- Authorization paperwork is incomplete or unclear
- Pet identity cannot be confirmed
- Medical device/implant poses safety risk
We will contact you immediately if any issues arise.
Secure Storage & Biohazard Protocols
All remains are stored in a secure, climate-controlled holding vault with restricted access. Per IAOPCC standards, all remains are treated as potentially infectious until processing is complete. Our team follows OSHA guidelines for handling and personal protective equipment (PPE).
Chain-of-Custody Documentation
Ondara maintains five core logs to ensure complete traceability from pickup to return. Every entry records the operator who made it and the time it was made.

Two forms of ID, start to finish: The metal ID tag remains physically attached throughout all 7 steps. The QR code is scanned at each transition, and every scan records the operator, the station, and the time.
Pickup Log
Records date, time, location, pet identification, and any special instructions at the moment of pickup or drop-off.
Alkaline Hydrolysis Log
Documents process start/end times, chamber ID, temperature monitoring, and chemical concentrations for every case.
Refrigeration/Holding Log
Tracks storage conditions, vault location, and duration for any pet awaiting processing or return.
Delivery Log
Documents the return of remains, including date, recipient signature, delivery method, and verification steps.
Maintenance Log
Records preventive maintenance, chamber inspections, seal checks, and equipment calibration to ensure operational readiness.
Your Access
You can track your pet's progress in real-time using your unique case ID on our Track Order page. Every status update is logged.
How We Keep Track of Your Pet
The metal tag stays physically attached to your pet throughout the entire process—from intake through aquamation, drying, and packaging. The QR/barcode is scanned at every step (intake, loading, processing, drying, packaging, release), and each scan records the operator, the station, and the time. At packout, our software will not let an operator close a case until the pet's name has been typed in and matched against the case record, and every item going into the package has been confirmed.
Processing & Operational Safety
Ondara follows IAOPCC's rigorous alkaline hydrolysis process standards, which include weighing, loading, chemical handling, monitoring, and rinsing protocols. Our team wears full PPE and follows OSHA-aligned safety practices during all handling and processing.

- Weighing: Accurate weight recorded before loading
- Loading: Pet gently loaded into the stainless steel chamber with metal ID tag attached
- Chemical Handling: 95% water + 5% alkali solution per IAOPCC standards
- Monitoring: Temperature, pressure, and time continuously tracked
- Rinsing: Thorough multi-stage rinse to ensure purity
Safety & Maintenance
- PPE Required: Gloves, eye protection, and protective clothing for all handling
- Vessel Inspections: Pre-load inspection before each use
- Seal Checks: Monthly seal integrity inspections
- Storage Capacity: Facility maintains one week of average volume capacity
Drying, Processing & Packaging
Drying Process
After aquamation, bone ash from Private and Individually-Partitioned services is dried in a dedicated drying area:
- Dried on separate racks or in temperature-controlled ovens
- Metal ID tag remains attached throughout drying
- Dehumidifier systems maintain optimal drying conditions
Foreign Material Removal
All foreign materials and implants are carefully removed:
- Surgical pins, screws, and plates separated
- Families may request return of implants for memorial purposes
- All items documented and photographed
Pulverization Standard
Bone ash is processed to a consistent, fine texture:
- All fragments reduced to under 2mm per IAOPCC standards
- Uniform consistency suitable for memorials and keepsakes
Identity Verification & Labeling
Before packaging, our team verifies identity one final time:
- Metal tag ID confirmed against case records
- Container labeled with pet name, date, and case ID
- Biodegradable urn sealed and secured for transport
Release & Return Procedures
Before releasing remains, our team performs final verification steps to ensure accuracy. Once remains leave our facility, the transfer is irreversible—reinforcing our commitment to getting it right every time.

Authorization & Documentation
- Authorizing Agent Only: Only the person who authorized service (or their written designee) may receive remains

Transfer is Irreversible
Once remains leave Ondara's facility, the transfer cannot be reversed. This policy reinforces the critical importance of our verification process and our commitment to accuracy and trust. Our team takes personal responsibility to ensure every detail is correct before release.
Mailing & Shipping of Remains
If you choose to have your pet's ashes shipped, here is how we send them and what the shipment costs.
Domestic Shipping
When you choose shipping, we send your pet's ashes by USPS Priority Mail Express:
- We do not ship through FedEx, UPS, or DHL
- Secure packaging with tracking and signature confirmation
- Return shipping within the United States is a flat $55
Where We Ship
We ship to United States addresses only:
- The arrangement form accepts a United States address, state, and ZIP code
- We do not offer shipment outside the United States
- Pickup at our facility and hand delivery within our service area carry no shipping fee
Shipping Consent & Liability
When you select shipping as your return method, you sign a shipping consent form acknowledging the risks and the cost. Ondara packages the ashes securely and purchases insurance, but we do not control the carrier and cannot guarantee its performance. We will keep you informed throughout the shipping process.

Ondara maintains a comprehensive preventive maintenance program and is always prepared for unannounced inspections. Our team follows all federal, state, and local regulations for wastewater discharge, workplace safety, and environmental protection.
